The Role
To form an integral part of the Estates Team, providing an outstanding student experience through working with colleagues to demonstrate measures and improvements of a safe, warm and dry home for our customers and great place to work for our employees.
To oversee and improve the governance of the Estates` compliance processes and ensure that Unite Student`s approach to managing our properties is in line with the requirements of the building safety act, advising where change is required.
Support the PQSM in delivering a balanced scorecard for the Estates` team performance. Manage the Estates team`s group hub page and monthly communications.
Responsible for the mobilisation process for new 3rd party suppliers, supporting their successful engagement with the regional estate teams, in particular the Estates Performance Managers.
Support process consistency between the regional estates teams, in order for them to deliver one approved, prioritised and integrated plan, that will improve operational efficiency.
KEY ACCOUNTABILITIES:
- Accountable for the production of building safety case reports supported by regional estates teams.
- Supporting the PQSM to develop estates improvement plans using the information identified in the KPI dashboards.
- Accountable for collating, documenting and embedding PPM procedures.
- Accountable for the successful implementation of 3rd party mobilisation plans.
- Accountable for supporting the regional estates managers in maintaining the estates risk log.
- Accountable for supporting property disposals and refinancing projects with the collation of property data.
- Accountable for the use of the property database as the single point of property truth, as a tool to support Central Estates, supporting it`s integration into other business functions.
KEY RESPONSIBILITIES:
- Ensuring the estates team understand its performance targets and goals
- Continuous improvement of the internal and 3rd party PPM governance, focussing on consistency of approach between regions.
- Support training needs of new ways of working, helping to embed them into the operation that supports the estate.
- Using the regional performance metrics, consider how governance and process can continuously improve.
- Manage the workload of the central planner.
- Support the Estates Performance Managers to identify inconsistency and drive up performance.
- Oversee the quality of the data which is stored to support compliance and operational delivery. Ensuring that all data required to support Building safety case reports is accurate and available on request.
- Oversee 3rd party mobilisation plans, supporting the regional estate performance managers to successfully embed new contractors. Setting out clear objectives and ways of working up to the point of receiving great performance.
- Support on standardising and documenting management systems for reactive maintenance.
KEY MEASURES FOR SUCCESS
- 100% compliance with the Building Safety Act "In Occupation" phase.
- Deliver annual Estates 3rd Party Supplier mobilisation plans.
- Monthly quality assessments of the regional estates compliance and performance dashboards.
- Quality assessments of post development and project delivery O&M manuals.
- Quality assessments of the Building User Guides and the building safety case reports.
KEY REQUIREMENTS
- Proven management experience.
- Experience working in an Estates or facilities management function.
- Independent thinker with an ability to propose and deliver solutions.
- Previous experience in coordinating / planning/ project management.
- The ability to influence and engage with geographically diverse range of internal and external stakeholders.
- Confidence to challenge the status quo.
- Experience of writing process documentation and process flows.
- Experience with CAFM systems.
- Ability to work on own initiative or as part of a team.
- Ability to meet or exceed deadlines and targets.
- Strong communication, interpersonal and influencing skills.
