The Role
We are looking for the Estates Performance Coordinator for our South division. The role is hybrid (predominantly from home, travel upon request)
The Estates Performance Coordinator is responsible for coordinating and assessing information from our planned and reactive maintenance programme as well as insurance surveys, audits, reports, and statutory requirements and supporting documentation. The Estates Performance Coordinator ensures information is prioritised for the Estates and FM Management teams to be able to make informed decisions, and manage workload effectively, about property related issues. The Estates Performance Coordinator also coordinates 3rd party visits and assesses performance against SLA also ensuring that compliance work is completed, validated and remedial work is scheduled for completion.
KEY ACCOUNTABILITIES
- Identification of projects and urgent tasks from surveys and audits which require prioritisation for the Estates and FM Teams.
- Collation of information to be presented to the Regional Estates Managers allowing them to make informed decisions about statutory work required across the estate.
- Ensuring any resultant remedial work from planned activity is scheduled within the Estates and FM management system.
- Providing support to the regional team in prioritising and scheduling all planned and reactive work.
- Monitoring Estates and Safety comms channels to capture proposed statutory changes related to the running of our estate and ensuring they are escalated for the future change of processes.
- Preparation of monthly compliance data
KEY RESPONSIBILITIES
- Coordinate the planning and scheduling process, collate information, and create required planning programmes containing all required information for work tasks and potential projects
- Book in regular review meetings ensuring all Estates, FM, 3rd party and Operational colleagues are kept up to date with planned activity. Measure whether work is being completed in line with our quality assurance programme
- Coordinate subsequent programme of works for all Estates tasks and projects resulting from insurance and statutory surveys.
- Preparation of information for reports and documentation for DEM decisions monthly including attendance at DEM meetings
- Coordinate post completion work reviews with 3rd party suppliers.
- To follow the Data Protection Policy and associated policies, keeping information confidential and secure, in order to ensure employee and customer data is protected and handled appropriately in line with legislative requirements
KEY MEASURES FOR SUCCESS
- Ensuring all planned work is scheduled on the estates management system on the system at least two weeks prior to completion due date
- Ensure remedial work required as a result of planned work is scheduled on the system within 24 hours of receipt
- Complete 3rd party performance report for the last working day of each month
- Ensure all statutory training required to fulfil the role is completed
KEY REQUIREMENTS
- Able to assess information, prioritise and prepare for decision
- Experience of liaising and monitoring with 3rd parties
- Demonstrate financial and commercial awareness including previous experience of working with and managing costs and budgets
- Ability to build relationships internally and with 3rd parties, insurers and other stakeholders
- Previous experience of working within an Estate or Facilities Management environment
