Unite Students has an exciting new role for a Personal Assistant to support some of the senior leaders within our business. The purpose of the role is to support and assist the Executive Assistant to the Chief Customer Officer, by providing comprehensive and confidential PA / administrative support to the Operations Team consisting of - Central Operations Director, Commercial Director, Group Safety Director, Deputy Chief Financial Officer and Heads of Operations (x3).

What You`ll Be Doing

  • The role will primarily provide PA / administrative support to the Group Safety Director and the three Heads of Operations, to develop and maintain service-focused working relationship across the Operations Team
  • Reporting to and working alongside, the Executive Assistant to the Chief Customer Officer, on a day-to-day basis to support the Directors and Heads of the Operations Team
  • Managing complex diaries, scheduling internal/external meetings, prioritising appointments, projects and deadlines
  • Producing appropriate agendas, reports and minutes
  • Booking travel and accommodation and producing subsequent itineraries
  • Completing monthly expenses
  • Organising, attending and supporting internal meetings with minute taking, as required
  • Organising and attending internal events as required, working alongside the internal Communications Team
  • Handle internal and external telephone calls, screening where necessary and dealing with enquiries in a proactive manner
  • Raise requisitions and purchase orders using the Oracle System
  • Enable payment of invoices outside the Oracle procurement system
  • Produce accurate documentation in a timely manner and to the Unite brand standard
  • Assist Operations Team with administration where required, including new starter itineraries and ordering the relevant IT hardware and software, managing the team holiday schedule and cover etc.
  • Work closely with other PA`s and Admin Staff across the Group to assist with any ad hoc duties
  • To follow the Data Protection Policy and associated policies, keeping information confidential and secure, in order to ensure employee and customer data is protected and handled appropriately in line with legislative requirements

What We`re Looking for in You

  • Excellent proof reading and document layout skills
  • Successful experience of organising and prioritising workload and meeting deadlines
  • Advanced Microsoft Office skills including Outlook, Word, PowerPoint and Excel
  • Self-motivated and possesses the ability to work on own initiative as well as within a team
  • Excellent oral and written communication skills, including the proven ability to engage with internal and external stakeholders alike and proven ability to engage and establish credibility with a variety of audiences
  • Possesses and promotes a positive and collegiate attitude, with the ability to adapt swiftly and a willingness to undertake challenging tasks to ensure stakeholder satisfaction
  • Highly skilled in understanding, empathising and delivering against stakeholder needs
  • Possesses flexibility and the ability to establish a strong rapport with senior management
  • Demonstrable ability to work at pace whilst maintaining a high level of accuracy and attention to detail
  • Highly developed ability to work on own initiative, juggle multiple responsibilities, manage conflicting demands and changing priorities to ensure stakeholder satisfaction
  • Excellent organisation and planning skills and evident capacity to acquire and apply new skills and learning
  • Ability to manage own time effectively, prioritising tasks when required to meet challenging deadlines
  • Able to undertake travel to Bristol & London office and UK City properties where necessary
