The Role

Reporting to HR Admin Supervisor, the focus of this role is to provide excellent HR administrative support for the business, covering all employee lifecycle processes, and providing additional guidance on all HR policies.

The HR Admin team has overall responsibility for administrating all employees` records, including all relating checks. Main accountabilities include:

  • Employee record and contract amendments
  • Processing of starters and leavers
  • Absence processing, tracking and monitoring
  • Any other pay related changes
  • RTW and DBS checking
  • First touchpoint for employee query and relations management

The Team also provides process appreciation, training guidance and is a centre of employee knowledge and expertise for all Unite Functions, Properties and Cities.

What You`ll Be Doing

  • Processing changes to Terms and Conditions accurately and in a timely manner
  • Monitoring the team`s shared inbox, responding to questions and requests from colleagues across the business and prioritising tasks as necessary
  • Production of contractual change letters
  • Processing and provision of payroll instructions for all pay amendments including allowances and ad hoc payments
  • Process leaver documentation including providing Payroll instruction
  • Maintaining accurate record keeping
  • Adhering to filing protocols in line with GDPR requirements including data deletion
  • Supporting internal and external auditing requirements
  • Support of Line Managers to comply with internal people processes
  • Production of reference letters as requested
  • Production of employment contracts for FTC to Perm employees
  • Responding and resolving of questions from new colleagues and Line Managers
  • Support system testing as required
  • Provide TUPE data for disposals and acquisitions
  • Support with monthly and ad hoc reporting requirements from across the business
  • Contribute to achieving team KPIs
  • Operate in a collegiate and supportive manner both within the HR team and working closely with Talent Acquisition, HR and Line Managers as required to ensure the best possible service to our employees.
  • Work collaboratively within the HR Administration team and support with additional activity and/or project input as appropriate.
  • Working in a methodical manner, ensuring that all required process steps are completed in order to deliver excellent service and accuracy
  • Use HR Management system (CoreHR) to an effective standard, ensuring that employee records are created and updated in a timely and accurate way
  • Seek to continuously improve processes to deliver added efficiency and an enhanced experience for our people

What We`re Looking for in You

  • 6 months or more experience in administration, ideally gained in an HR environment
  • Previous experience using an HR Management system
  • A proven track record in the delivery of accurate data to tight timescales
  • A friendly, customer service focussed approach, confidence in speaking to colleagues of all levels across the business
  • A positive attitude with the ability to adapt swiftly
  • A good understanding of GDPR and working in team environment where personal data is kept confidential, protected and secure
  • An ability to manage your own workload, prioritise tasks effectively and work to tight deadlines accurately
  • IT capabilities in MS Office (Particularly Outlook, Word, Excel and One Drive) with the ability to quickly learn bespoke IT systems and tools
  • Excellent written and verbal communication
